Top Guides Africa Ltd is seeking a dedicated Procurement Officer to join their team in Arusha. The primary responsibility of this role is to manage the end-to-end purchasing process, which includes obtaining quotes for standard stock, preparing comprehensive price adjudications, and issuing purchase orders. The successful candidate will be responsible for evaluating the performance of suppliers and vendors, researching potential new partners, and negotiating terms to achieve cost savings and favorable credit facilities. Additionally, the role involves supervising products for damage and managing returns while ensuring all purchasing policies and procedures are strictly followed.
Beyond purchasing, the Procurement Officer will handle vital expediting and administrative duties to maintain supply chain efficiency. This includes tracking overdue orders, coordinating with freight forwarders at both origin and destination points, and ensuring all customs documentation is accurate. The officer will maintain detailed inventory records, prepare weekly and monthly purchase reports with cost analysis, and resolve queries from both internal and external sources. Based in Arusha, Tanzania, this position requires a blend of analytical reporting, active logistics management, and strong communication with end-users to ensure the stock catalogue remains current and requirements are met.

Key Requirements
Minimum 1-3 years of professional experience as a Logistics or Procurement Officer.
Must possess at least a Diploma or Bachelor's degree in a relevant field.
Demonstrated background and working experience specifically within the Tourism Industry.
Working knowledge of storekeeping, general warehousing, and inventory management.
Familiarity with issuing, stocking, ordering, and receiving various parts and supplies.
Understanding of cycle counts and proper bookkeeping for inventory accuracy.
Energetic personality capable of performing some physical labor required for storekeeping.
Strong customer-orientation to identify needs, retain clients, and resolve issues effectively.
Ability to evaluate supplier performance and make process improvement recommendations.
Proficiency in coordinating with freight forwarders and managing customs documentation.
Experience in price adjudication and negotiation for credit facilities and warranties.
