OFFICE & ADMIN MANAGER - SCHOOL @ HSD-MELT
The Office & Admin Manager at Hsd-melt will be responsible for overseeing the administrative operations within a school setting in Dar es Salaam. This pivotal role involves managing all institutional communications in both French and English, ensuring that all correspondence, calls, and official letters are handled with the highest level of discretion and organized within a systematic archiving system. The successful candidate will serve as the primary contact for families, managing the entire student administrative journey from initial admission to re-enrollment through specialized records management systems.
Beyond day-to-day administration, the manager provides critical support to the Head of School and the Director of Administration and Finance (DAF) by preparing agendas, minutes, and attendance lists for institutional meetings. The role also encompasses event coordination, where the manager will plan and execute school events, handling logistics and communication with both internal and external stakeholders. A focus on process improvement is essential, as the manager is expected to identify inefficiencies and propose enhancements to workflows to improve the family experience and the school's overall visibility.

Key Requirements
Bachelor's degree in administration, management, secretarial studies, education, or a related field.
Minimum of 7 years of professional experience, with a strong preference for school environments.
Full proficiency in both French and English for secretarial and correspondence management.
Demonstrated experience in managing student lifecycles and admissions processes.
Experience using school management software such as Skolengo for record keeping.
Strong organizational skills for structured archiving and document management.
Ability to support senior leadership with meeting documentation and institutional agendas.
Proven track record in event coordination and logistical management.
Excellent interpersonal skills for managing family relations and institutional visibility.
Ability to identify workflow inefficiencies and implement process improvements.
