We are seeking a dedicated and organized Office Secretary to manage our office operations and support various departments. This role is crucial for maintaining efficient communication and administrative flow within the organization.
The main responsibilities include receiving and directing guests appropriately, responding to and handling phone calls, emails, and other communications promptly and professionally. The role also involves managing appointment and meeting schedules, ensuring smooth coordination for internal and external engagements. Furthermore, the Office Secretary will be responsible for maintaining the cleanliness, organization, and overall orderliness of the office environment, meticulously organizing and preserving important documents, records, and information, and providing essential administrative assistance to various departments within the company to facilitate their operations.

Key Requirements
Minimum Diploma or Degree in Receptionist, Secretarial Studies, Office Management, or a related field.
Excellent communication skills in both Swahili and English (verbal and written).
Proficiency in computer usage and office software (MS Word, Excel, PowerPoint, Outlook, etc.).
Ability to politely receive guests and understand customer service principles.
Capability to plan schedules, keep records, and manage documents effectively.
Ability to work meticulously, follow instructions, and maintain confidentiality.
Possess a presentable appearance, good conduct, and the ability to work as part of a team.
Prior experience in a similar position will be an added advantage.
Strong organizational and time management skills.
Ability to handle multiple tasks and prioritize effectively.
