MATHEOS TECHS is looking for a proactive and organized Office Administrator to join their fast-growing IT company. In this role, you will play a central part in managing daily office operations, supporting various staff departments, and ensuring the smooth execution of company projects. You will act as a bridge between the managing director and the staff, coordinating daily briefings, assigning tasks, and maintaining high levels of accountability and productivity throughout the organization. In addition to a competitive base salary, this position offers performance-based bonuses tied to Key Performance Indicators and commissions on sales generated through lead conversion.

Beyond administrative duties, the successful candidate will focus heavily on Customer Relationship Management (CRM) and business development. Responsibilities include managing client interactions, conducting cold calls to generate new leads, and identifying high-value tender opportunities. You will be responsible for preparing and submitting comprehensive tender applications with a focus on securing contracts to drive business growth. This role is ideal for a professional who thrives in a technical environment and possesses strong communication, financial, and project coordination skills.

Key Requirements

Conduct daily staff briefings to align team priorities and goals. Record and circulate minutes of meetings with clear, actionable follow-ups. Assign and track staff duties to ensure maximum productivity and accountability. Oversee office operations, including facility maintenance and IT coordination. Develop and maintain weekly work plans for all administrative and assigned scopes. Assist in planning and tracking projects to ensure milestones are met on time. Maintain and update detailed project documentation, schedules, and reports. Serve as the primary contact for clients, partners, and vendors to ensure a seamless experience. Manage the company CRM system to track client interactions and engagement levels. Conduct cold calling to generate leads and create new business opportunities. Search for and identify at least five relevant tender opportunities per week. Prepare and submit high-quality, compliant tender applications within strict deadlines.
