We are actively seeking a motivated, organized, and detail-oriented Client and Event Operations Coordinator for an essential onsite role in Kenya. This full-time position operates Monday through Friday, 9:00 AM – 5:00 PM EST, and is responsible for providing critical support to our Account Executive team. The coordinator will manage comprehensive event logistics, client communication, and necessary administrative workflows, ensuring a smooth and professional client experience from the initial booking phase through successful event execution. This role is ideal for candidates who thrive in dynamic environments, possess strong multitasking capabilities, and maintain exceptional professional communication standards.
A core function of this role is Client & Event Coordination, where the successful candidate will act as the primary liaison between clients, speakers, and internal teams. Responsibilities include gathering all necessary slide decks and event materials, ensuring timely delivery, and tracking event deadlines and follow-ups. Furthermore, the coordinator handles crucial Contract & CRM Administration, including maintaining accurate data within HubSpot, creating and managing tasks for Account Executives, reviewing contracts, and coordinating approvals. The position also requires Financial & Expense Support, involving the collection of receipts, organizing reimbursement documentation, and assisting with invoice preparation and payment tracking. The coordinator will also support relationship growth by identifying strategic contacts within client accounts and researching industry opportunities.

Key Requirements

Bachelor’s degree or equivalent experience. 1–4 years experience in event coordination, operations, client service, or related fields. Strong written and verbal communication skills. Excellent organizational and time-management abilities. Proficiency in Microsoft 365 and HubSpot CRM. Ability to work independently and as part of a team. Strong judgment and problem-solving skills. Ability to maintain accurate CRM data and manage tasks for the Account Executive team. Experience in contract review, coordination of revisions, and approvals. Ability to handle fast-paced, shifting priorities and dynamic environments.
